### 1. Create your list

Always create a single Master List where you store all your contacts. Have as few lists as possible.

# Password setup

Managing your ActiveCampaign password is straightforward; whether you've forgotten it, you need to create one (trial account) or change it while logged in. Follow these simple steps to ensure your account remains secure.

### Steps to Create a New Password or Reset a Forgotten Password

* **Visit the Login Page:** Go to your account's login URL.
* **Click "Forgot?"**: This is located in the password field.
* **Submit Email:** Enter your login email and hit "Submit."
* **Check Email:** Look for a message titled "ActiveCampaign password reset instructions."
* **Update Password:** Click the "Update Password Now" link in the email, then create a new password on the login page.
* **Ensure Correct Email:** Double-check the email you use to log in.

### Password Requirements

* **Minimum 8 Characters:** Passwords should be at least 8 characters long.
* **Security Compliance:** Avoid passwords from the common passwords list by OWASP.

### Changing Password While Logged In

* **Access Settings:** Click "Settings" from the menu.
* **Enter New Password:** Fill in both password fields and save.
* **Confirm Current Password:** A prompt will ask for your current password to confirm the change.

### Admin Reset for Other Users

* **Navigate to Users:** Go to "Users and Groups" in settings.
* **Edit User Details:** Select the user and choose "Change Password."
* **Update Password:** Enter your admin password, then set a new password for the user.

# DNS authentication and domains

Before starting to send emails through ActiveCampaign, you need to set up your sending domain, which requires verification and authentication. Here you'll learn how to verify and authenticate your email domain.

Starting in February 2024, this configuration is mandatory for accounts sending emails to more than 5000 recipients per send. Regardless, we recommend completing this process to ensure account deliverability.

* **SPF (Sender Policy Framework):** ActiveCampaign automatically manages the SPF configuration, so no further action is required.
* **DKIM (DomainKeys Identified Mail)**: Copy the two provided CNAME records and configure them in the DNS manager of your hosting provider. Enable the option "I will handle my email authentication." Access your ActiveCampaign account and navigate to "Settings" > "Advanced."&#x20;
* **DMARC (Domain-based Message Authentication, Reporting, and Conformance):** Add a TXT record in your hosting provider's DNS manager with the specific DMARC configuration.

# Email verification

In this section, you will find instructions on verifying your email in ActiveCampaign.&#x20;

These are the instructions you need to verify your domain when setting up your account.

1. Log in to the new account.
2. Navigate to **Campaigns** in the left-hand menu.
3. Click the **Create your first campaign** button.
4. On the **Campaign Summary** page, enter your email address in the **From Email** field.
5. A warning banner will appear stating, "Your domain needs to be verified." Click the **Send verification email** button in this banner.

6. A domain verification email will be sent to the email address entered in the **From Email** field. Once sent successfully, a green alert will display: **Domain verification email was sent**.
7. The Campaign Summary page will show a **“Pending verification”** banner until the domain is verified. Campaigns cannot be sent until the domain is verified.

8. Check your email inbox for a message with the subject line **"Please verify your domain for ActiveCampaign"** and open it.
9. **Click the “Verify” button** in the email.
10. You will be redirected to the **Settings > Advanced** page of your ActiveCampaign child account. If prompted, log in.

Once domain verification is complete, the domain will show as “Authenticated:”<br>

# Hidden Fields: Track Traffic and Block Bots

Hidden fields are useful to track contact sources when they fill out a form and prevent spambot form submissions.&#x20;

* Hidden fields are text-only custom fields not visible to contacts submitting the form that can be used to pass info about contacts into your account when they submit your form
* They can **only** be used with **Inline forms** in ActiveCampaign and cannot be added to the floating box, floating bar, or modal forms.

* Click the "Website" button in the left-hand menu to access the Forms overview page.
* Select the form you want to edit and click the "Edit" button.
* In the right panel, click "Fields," then select “My Fields” and click "Add a custom field."
* Enter the field name, choose the appropriate group from the "Group" dropdown, select "hidden field" as the field type, and click "Add" to save it.
* Locate the hidden field you created in the list and drag it onto the form in the builder.

Here is where you can learn how to login to your Wild Mail billing app.

Wild Mail has updated its login process to make access more secure and user-friendly. The new method no longer requires API credentials. Instead, you will log in using your admin email address and a 6-digit code sent to your inbox.

## Step-by-step instructions to log in

### 1. Open the login page

* Navigate to: <https://app.wildmail.io/login>

### 2. Enter your admin email

* Use the email address associated with your Wild Mail admin account. If that email doesn't work, try using the email associated to your billing.

***NOTE:** Please keep in mind that you can have more than one email associated to your Wild Mail billing app if you need it.*

### 3. Click "Send token"

* A 6-digit code will be emailed to the address you entered.

### 4. Check your email

* Look for the email from Wild Mail with your 6-digit login token.
* It should arrive within a few moments. Be sure to check your spam or junk folder if you don’t see it.

### 5. Enter the 6-digit code

* Type the code in the "Token" tab.

### 6. Access your account

* Once the code is entered, you'll be successfully logged in to your Wild Mail billing app.

This new process still uses **two-factor authentication** for enhanced security. Although API keys are no longer required, the email verification code ensures that only authorized users can access the app.

# Trial to paid account

If you already have a Wild Mail trial account and would like to upgrade to a paid one, just follow the steps below.

You will be redirected to the Wild Mail app; once inside, click on **Billing,** the click on **Upgrade.**

### **3. Verify that you are human**

Complete the Captcha field that you see on screen, which adds an extra layer of security and prevents the creation of false accounts.

### **4. Choose your plan**

Choose the plan you would like to subscribe to; you will be able to choose the number of contacts, the billing cycle, and the currency. Once you have finished choosing the plan you want, click on Get Started.

### 5. Customize your plan

You can continue to edit your plan, add more contacts, increase the number of users, increase the number of monthly email sends, add any add-ons, and apply a discount coupon if you have one. Once you have everything, click **Proceed to checkout**.

### 6. Inside Stripe

You will be redirected to **Stripe** to add your credit card details and billing address, along with other relevant information if applicable (company name, VAT number, etc).

### 7. Finish

Once the process is completed, the app will show you the information about your updated plan.

# Upgrade/downgrade account

### 3. Update plan

Using the pencil symbols to the right of the current features of your plan, make the necessary modifications. For example, change the number of active contacts, the type of plan, or add/remove users.

### 4. Choose/update add-ons

You can add more add-ons if you need to, such as CRM, SMS, the Custom Reports add-on, or increase your monthly email sends. Add all the changes you want/ need.

### 5. Finalize

Once you have made the necessary changes, you will see a breakdown of what you need to pay, click **Confirm and Pay**, and the changes will be applied to your account. Additional charges will be made automatically through Stripe. The screen will display your updated plan.

# Reset password

After creating your account, you can automatically log in. If you need to know your password or assign a new one, you need to reset it, as the password is not generated for cybersecurity reasons.

To reset the password for your account, please follow these steps:

### 1. ActiveCampaign login page

Go to your ActiveCampaign account login page. The URL will look similar to **myaccount.activehosted.com/admin/**.

### 2. Click "Forgot?"

Click the "**Forgot?**" text in the password field.

### 3. Type your email address

Type the email address you use to log in to your account, then click "Submit." A confirmation message will appear on your screen. Go to your inbox and look for an email with the subject line "**ActiveCampaign password reset instructions**" and open that message.

### 4. Update password

Click the "Update Password Now" button in the email. You will be redirected to your Account Login page. Type your new password into both fields then click the "Submit" button.

### 5. Log back in

You will then be logged back into your ActiveCampaign account. Please remember this password for any future cases.

# Change billing details

# Apply a coupon

# VAT updates January 2025

We’re updating our VAT (Value Added Tax) policy for customers in compliance with the One-Stop Shop (OSS) system, **starting January 2025**. These changes aim to align with EU VAT regulations and ensure accurate tax calculations for our customers. Below, you’ll find a summary of the new VAT rules and how they affect your invoices.

## **What’s changing?**

Currently, if a customer in the EU (but outside Spain) does not provide a valid VAT number, we charge Spain’s VAT rate of 21%. From January 2025, this will no longer be the case. Instead:

1. **EU Customers Without a Valid VAT Number**\
   We will charge VAT based on the VAT rate of the customer’s country of residence.
   * **Example 1**: A customer from Germany without a VAT number will be charged **19% VAT** (Germany’s current rate).
   * **Example 2**: A customer from Austria without a VAT number will be charged **20% VAT** (Austria’s current rate).
2. **EU Customers With a Valid VAT Number**\
   If a customer provides a valid VAT number, no VAT will be charged on the invoice.
3. **Customers in Spain**\
   VAT remains unchanged at **21%** for all customers in Spain, except for those located in exceptional territories (e.g., Canary Islands, Ceuta, Melilla).
4. **Customers Outside the EU**\
   No VAT will be charged for customers outside of the EU (e.g., United States, Mexico, Australia).

## **What does this mean for you?**

If you are a customer based in the EU, please ensure that your VAT number is valid and up-to-date. You can check the validity of your VAT number using the [official EU VAT validation tool](https://ec.europa.eu/taxation_customs/vies/#/vat-validation).

If no valid VAT number is provided, we will apply the VAT rate of your country of residence to your invoice.

## **Why are we making this change?**

These changes comply with the EU’s OSS system, which requires businesses to charge VAT based on the “destination principle.” This means VAT is calculated according to the rate in the customer’s country of residence, ensuring fair and consistent tax application across EU member states.

1. **Verify Your VAT Number**\
   If you are a professional or company in the EU, provide a valid VAT number to ensure you are not charged VAT.

2. **Understand Your Local VAT Rate**\
   Familiarize yourself with the VAT rate in your country to anticipate the changes on your invoices.

# Cancel account

If you would like to cancel your Wild Mail account, please follow the below steps.

### 1. Access your Wild Mail billing app

You can login to the billing app by following [**these steps.**](https://docs.wildmail.io/account-and-billing/wild-mail-app-login)

### **2. Inside the Wild Mail app**

Once you are in the Wild Mail app, go to **Billing**.

In Billing, on the right hand side, click on **Cancel Account**.

### 4. Security screen

Once you click on **Cancel Account**, a security screen will appear to check if you want to go ahead with the cancelation process. You will also have to fill out a small form stating the reason for the cancelation.

### 5. Complete the form

Choose the reason for canceling, and then click on **Cancel account.**

You will see that the app will be processing your cancellation request.

Once your request is processed, you will see this screen, which tells you when your account will be automatically canceled.

# Failed payments

Here you will find information on how failed payments work in **Stripe** and the different stages of collection attempts.

### Reasons for a failed payment

We use Stripe to manage the payments of your subscriptions.

There can be situations where a payment may fail due to various reasons:

* The card has expired&#x20;
* The issuing bank rejects the payment&#x20;
* An incorrect card number was introduced&#x20;
* The card has insufficient funds, etc.

When these situations occur, once it is time for your subscription renewal, if there is any error as the ones mentioned above, Stripe considers this as a **failed payment**.&#x20;

When this happens, Stripe will make various attempts to charge the same card until the payment is either successful or failed completely.

### Collection attempts

* After the first failed payment, Stripe will make various attempts to charge the same card. If the payment is not successful during the following 6 days after the first failed payment, the account will be **Disabled**.
* After 11 days from the first failed payment, if Stripe does not succeed in getting the payment through, it will list it as Failed and will no longer attempt to charge the card. If this happens, **the account will be automatically canceled.**

### What to do

* If you have a failed payment and your account is disabled, you will need to go to your [Billing app](https://app.wildmail.io/login)  in order to make the payment/ update your billing details. Once you make the payment, please contact <support@wildmail.io> to reactivate your account.

Please note that you will only be able to access your billing details only via the Billing app, as you will not be able to log into your account. To know how to change your billing details, please see [this article.](/account-and-billing/billing/change-billing-details)

* &#x20;If the account gets canceled due to non- payment, you will need to contact us at **<support@wildmail.io>** and let us know you want your account reactivated.&#x20;

In this case, you will need to pay the due invoice(s), in order to clear the account, and a new subscription will be created and you will also need to pay for it.

We previously used **Rewardful**, a tool that was helpful at the time but had become outdated and lacked innovation for several years. This stagnation limited our growth and the potential for improvement in our affiliate program.

We have chosen to take a significant step forward to modernize the program. Our goal is to offer better conditions and introduce new features that will enable us to achieve levels of excellence that we could not have achieved with Rewardful.

### What is the selected tool?

We have chosen **FirstPromoter**, an innovative platform that offers robust functionalities and a promising roadmap for the future. With FirstPromoter, we will be able to implement advanced tools that will enhance the experience of our partners.

### What are the key actions partners must take?

After **March 31st**, your current affiliate links will stop working, and you will no longer receive new referrals from your current Rewardful links.

Between **March 24th to March 31st**, you will have time to replace your old affiliates links for the new FirstPromoter links.

To do this:

1. **Access to your FirstPromoter account**
   1. Log in on this [link](https://partners.wildmail.io/forgot-password).
   2. Use the same email you used to sign up in the past
   3. Set up your account (accept agreement, upload picture, website, social media, etc.)
2. **Update Your Affiliate Links**
   1. Copy your new link, or create a new link if you want
   2. Start replacing your old links with your new FirstPromoter affiliate link

### What happens to my existing affiliates?

All your current affiliates will **remain active and linked to your account**. This change does not affect existing affiliations, which allows you to keep earning the same amount of commissions as before of the change.

### How to complete the W-8 and W-9 forms? Is it mandatory?

Before receiving your first commissions on FirstPromoter, you’ll need to complete the W-8 or W-9 forms, depending on your fiscal situation and residence.

* **🇺🇸 W-9 Form**: American (USA) residences
* **🇪🇺 W-8 Form**: Non USA residences (Europe, Latam)

### How long will the current system (Rewardful) be active?

The current system and their links will remain operational until **March 31st**. After that date, you must transition to the FirstPromoter new links, to avoid interruptions on your new affiliates.

# How to become a partner

### 1. Become a customer

In order to become a partner, you must be a Wild Mail customer. If you are not yet a Wild Mail customer, create your Wild Mail account [**here**](https://app.wildmail.io/onboarding/trial?_lang=EN).&#x20;

If you already have an ActiveCampaign account, you can move it to Wild Mail [**here**](https://app.wildmail.io/onboarding/move?_lang=EN).

### 2. Register as a partner

To do so, you must register with **FirstPromoter** [**here**](https://partners.wildmail.io/)**.** If you already have an account, log in [**here**](https://partners.wildmail.io/login).

### 3. Set up your partner profile

Set up your profile by updating your photo, adding your website, social media, and more.

### 4. Share your link

You can add your link, similar to "?fpr=preview-token" to any Wild Mail page and, if the person becomes a Wild Mail customer within 60 days, the conversion will be attributed to you.

To begin editing your profile:

# Partner commissions

### **Tiers**

The more accounts you refer to Wild Mail, the higher your commission. Tiers are based on the number of active accounts\* that you have.

* **Silver**: Partners that have 1-5 active accounts earn a 20% commission.
* **Gold**: Partners that have 6-20 active accounts earn a 25% commission.
* **Platinum:** Partners that have 21+ active accounts earn a 30% commission.

Please keep in mind that you cannot earn commissions on your own personal account(s).

\*by active accounts, we mean that they haven’t cancelled their Wild Mail account.

### Changing affiliates

**No changes can be made to affiliations.**

Once an affiliate is assigned to an account, changing this is impossible. The partner who initially recommended the account is the one who will receive the commissions from that account, and it is not possible to change this.

### **Monthly Payouts**

Commissions are paid monthly automatically once payment requirements are met. The amount will be made available during the first 15 days of the month.&#x20;

### Payments via bank transfer

Commissions are paid via bank transfer, but you have different methods to choose from depending on your preference.

You can choose your preferred payment method for your **first commission payment** and leave it predefined for future payments.

# Payout requirements

## Payout Requirements

These payout requirements have been in place since April 1, 2025.

Every month our team will pay out all commissions to partners that meet all the following requirements:

1. **Be a Wild Mail customer**. You shall have an active Wild Mail subscription during the period you're referring customers to us.&#x20;
2. **Commissions are paid after 60 days of conversion**. This industry standard is done to avoid problems with cancelled or refunded accounts.
3. **Min. of 100€ in commissions**: We will only start paying out commissions once you hit €100 earned commissions. We do this in order to avoid paying micro amounts where fees are higher than commissions.
4. **Have referred at least 2 active customers:** You need to have at least 2 active customers to meet payout requirements.
5. **Have referred at least 1 active account in the previous 12 months**.

### Payout Eligibility Resets After 12 Months of Inactivity

If you have not referred a new customer in the previous 12 months (365 days), you will **no** longer earn commissions for historical accounts. If you begin to refer accounts again after the 12-month period has lapsed, the commission rate will be reset to 20%, and you will earn a commission for new accounts moving forward as long as the above eligibility requirements are met.

### Additional Payout Rules

Please note that **it is not possible** to earn commissions from your own account, other accounts that you may have or create or by referring each other with other partners.&#x20;

You can only earn commissions from clients who sign up for an active Wild Mail account using your unique affiliate link.

Each month, we review pending commissions. You will receive a payment only if, at the time of the review, you meet all eligibility requirements and the amount falls within the month being processed. Example: In October, we review August commissions. If you meet the requirements at the time of the review, you will receive the payment.

:zap:Important: If you have any accrued amounts from months prior to the month under review and did not meet the requirements at that time, those amounts will not be paid and will not roll over to subsequent months.

Commissions can only be generated in Stripe if the payment has been made via credit card, SEPA, or any means through Stripe.&#x20;

<summary><strong>Old payout requirements (valid until 31/3/2025)</strong></summary>

1. **Be a Wild Mail customer**. You shall have an active account during the period you're referring accounts.
2. **Commissions are paid after 60 days of conversion**. This industry standard is done to avoid problems with cancelled or refunded accounts.
3. **Min. of 200€ in commissions**: We will only start paying out commissions once you hit €200 earned commissions. We do this in order to avoid paying micro amounts where fees are higher than commissions.
4. **Have referred at least 2 active accounts:** You need to have referred at least 2 active accounts to meet payout requirements.
5. **Have referred an account in the previous 6 months**.

If you have not referred a new account in the previous 6 months (180 days), you will no longer earn commissions for historical accounts. If you begin to refer accounts again after the 6-month period has lapsed, the commission rate will be reset to 20%, and you will earn a commission for new accounts moving forward as long as the above eligibility requirements are met.

# Promote Wild Mail

### 1. Add to email footer

The easiest thing is to add "This awesome email is powered by Wild Mail." Link "Wild Mail" with your partner link. This is how you get evergreen commissions every time you send out an email via Wild Mail.

This is definitely the easiest and **most automated** way to earn commissions. Your subscribers will be exposed to Wild Mail every time they read your emails.

### 2. Move ActiveCampaign accounts

The fastest way to benefit as a Wild Mail partner is when you already have clients or customers who currently use ActiveCampaign. You can invite your customers to move over to Wild Mail with a few clicks (literally takes 1 minute) and you will receive a commission from that.

Your customers will love it and you will be financially rewarded. Win-win!

### 3. Reviews and comparisons

Many people are looking for reviews of Wild Mail from actual customers.&#x20;

By publishing a blog post where you review Wild Mail, you will be able to rank in Google and receive search engine traffic from people searching for reviews. It works best if you do in your local context.

**Examples:**

* Write in your local language about Wild Mail (French, German etc..). You will rank easily in Google with this trick!
* Explain how to use Wild Mail in your industry (not much competition on Google!) Example: "Marketing automation software for health coaches" etc.
* Compare Wild Mail with other marketing tools and explain why it's better.

The earlier you start to produce content in your local context, the easier you will rank and the more commissions you will generate.

### 4. YouTube Tutorials

One great platform to teach your audience is YouTube. It's easy and free to get started. But the best part is that it is underutilised which means there is a great opportunity to rank high.

You can use a free tool like [**Loom**](https://www.loom.com/) to record your tutorials and then you upload them to YouTube.

Make sure to add your local and industry context to each tutorial.&#x20;

**Examples:**

* How to automate your client onboarding as a fitness coach
* How to get new gigs as a writer

Alternatively, you could also do a podcast episode, mention Wild Mail in a guest blog or post an [**Instagram**](https://www.instagram.com/wildmail.io/) story.

### 5. Personal recommendations

Simply talk to your entrepreneur friends about Wild Mail. If they ask you what email tool you use, answer "Wild Mail".&#x20;

You can then follow up with them and share your unique partner link to get them started with Wild Mail. Mention Wild Mail in your blog posts, podcast interviews, clients, customers, and team members.

By helping them discover Wild Mail, you are helping them grow their business by building authentic relationships with marketing automation.

# Create accounts

### 1. Open Wild Mail

If you want to create an account for yourself or your affiliate, you'll need to use your FirstPromoter link.

To log in, go to this [page](https://partners.wildmail.io/login).

### 2. Fill in the fields

Fill in the fields shown below and click **Next**.

### 3. Verify your email

For security reasons, before the account is created, you will receive a verification code to the email address you have entered.

Type in the verification code that you receive and click on **Verify**.

### 4. Account created

After a few moments, your trial account will be created. This can take up to one minute.

You will see the below screen and the options that appear are the following:

**GO TO DASHBOARD**: if you click here, this will open the Wild Mail billing, where you can see the details of your trial/ plan and you can upgrade to a paid account here if you wish.

**SCHEDULE A DEMO**: if you would like to book a call with us to show you what the platform can do, you can do it here.

**LOGIN**: this will automatically log you into your ActiveCampaign account. The password, in case you need it, will be sent to you via email right after the trial account has been created.&#x20;

# Migrate accounts

There are two options to migrate an account to Wild Mail depending on the software you or one of your affiliates are currently using.

## Migrate an ActiveCampaign account

### 1. Open Wild Mail

Your affiliate will need to access the Wild Mail app using your FirstPromoter link.

To log in, go to this [page](https://partners.wildmail.io/login).

### 2. Fill in the fields

You will get to the next screen where you will have to enter your name and the API key and url of the ActiveCampaign account you want to migrate.

**Note:** Make sure the account details you enter are related to the **account owner**, not just any admin added to the account, as we need the account owner's unique API key.

&#x20;After filling it in, click on **Next**.

### 3. Billing

On the next scree&#x6E;**,** you will need to enter your billing information. Once completed, click on **Go to Stripe.**

### **4. In Stripe**

You will be redirected to Stripe to enter your credit card details. Once done, click **Save Card** to register it as your primary payment method for future invoices.                           &#x20;

### 5. Email instructions

You will receive an email with instructions to your account's admin email address. Please reply to that email to continue with the migration process. The screen will display this information. Once you've responded to the email, click on **I've responded.**

The email you will receive will look like this, asking for your account migration confirmation.

### 6. Migration begins

Once you've replied to the above email with "I confirm that I would like to move my account", the migration process will begin in the backend.

### 7. Finish

When the migration process is finished, you will receive confirmation from us and ActiveCampaign. You will be able to access your Wild Mail account as you did before.

### 8. Start your Week 1 with Wild Mail

Now that the account is under our agency, you can start doing the basic configuration.&#x20;

# Semana 1 con Wild Mail

## Reserva tu llamada de onboarding

Una vez tengas una cuenta activa, puedes reservar tu llamada de onboarding con nosotros para que podamos ayudarte con la configuración básica. Puedes reservar la llamada [**aquí**](https://calendly.com/wildmail/wm-demo-es)**.**

Durante la llamada, veremos:

* Como crear y enviar campañas, automatizaciones, importar una lista de contactos o cualquier otra cosa en la que podamos ayudarte
* Como gestionar tu facturación (descargar facturas, actualizar datos de facturación, cambios de plan, etc.)
* Como utilizar el soporte de Wild Mail y nuestro centro de ayuda&#x20;

## Empecemos

### 1. Crea tus listas

Ten siempre una lista maestra donde guardes todos tus contactos y ten el mínimo número de listas posibles (3 como mucho).

El etiquetado es una forma rápida y fácil de agregar información a un contacto. Puedes pensar en el etiquetado como un sistema de carpetas flexible para agrupar sus contactos e indicar su estado. Para mantener las etiquetas organizadas en función de su funcionalidad, te recomendamos que sigas el siguiente sistema de clasificación.
